Checklist library

Reusable inspection steps by work and asset type, with change history.

Overview

One place to define what "inspected" means. Items are mapped to a work type and an asset type, and every work order and health check of that combination is populated from the library automatically — so improving a checklist improves every future job at once.

Step by step

Work through these in order the first time. After that, steps two to four are the daily loop.

  1. Map to the work type and asset type pair

An item belongs to a combination, not to a checklist document. Every work order created for that work type on that asset type inherits the active items for the pair.

  2. Write instructions, not nouns

"Check brakes" is not a checklist item. "Apply park brake, confirm the unit holds on a 5% grade" is one — it can be passed or failed without a judgement call.

  3. Bulk import to start

Download the template and import an existing paper checklist in one pass rather than typing items one at a time.

  4. Retire, do not delete

Set an item inactive when it stops being required. It disappears from new work orders while past work orders that recorded a result against it stay intelligible.

  5. Use ad-hoc items for the one-off

A step needed on this job and not on the next belongs as an ad-hoc item, added to that work order. It does not pollute the library for the whole fleet, and the item shows how many work orders have used it.

  6. Read the audit tab after a change

Every change is recorded with the actor and time. When an inspection standard is questioned six months later, the audit tab is the answer.

Notes from the field

Behaviour that is easy to miss from the interface alone.
