Overview

A lightweight parts store: what is on the shelf, what the safety level is, and every add and use that moved the count — enough to stop a job stalling on a part nobody knew had run out.

Step by step

Work through these in order the first time. After that, steps two to four are the daily loop.

  1. Add the part with a real safety stock

    Add part captures the identity and the opening count. Safety stock is the level below which you want to be reordering — set it from lead time, not from a round number.

  2. Move stock through Add and Use

    Never edit the count directly to reconcile. Use Add and Use with a note, so the movement history explains why the number changed.

  3. Print QR labels for the shelf

    Each part can produce a QR label. Labelling bins means a technician scans rather than searches, which is the difference between the count being right and the count being fiction.

  4. Reconcile against work orders

    Materials recorded on the Materials tab of a work order are what should be drawing stock down. A part whose count drifts from its movements is telling you the consumption is not being recorded on the job.
